Kids' Club Policies & Procedures
Informing Teacher/Office of Change in Dismissal
Please be sure to send in a note to your student's homeroom teacher so that he/she is aware that your student has a change in dismissal on Kids' Club days. If you send an e-mail, please cc: Mrs. Baldwin ([email protected]). If your student attends Open Door, please let them know so that all parties can properly account for students. If your student has difficulty remembering that they have Kids' Club, try marking it on their agenda as a reminder.
End of School Day Dismissal
Your student should listen for Kids' Club to be dismissed to the library. This usually occurs after Open Door is called for dismissal. Please ask your students to report immediately, as the parent volunteers are accounting for students and then reporting missing students to the office as soon as possible. A parent volunteer will take attendance.
Students who are Open Door should dismiss directly to the library; Kids' Club will provide Open Door with an attendance sheet.
Snack
You may send your child in with a peanut-free snack to enjoy in the library. Tables will be wiped down by a parent volunteer before and after snack. Please inform us if your child has an allergy and would like to sit at a designated table. If multiple allergies are present, we will work with all parents/students to ensure that their student's environment is safe.
Club Dismissal
Instruction ends at 5 pm. The instructor and the parent volunteer will then escort students to Open Door (if applicable) or to the front door of the school for dismissal. Please pick up your student promptly. If possible, call the volunteer on duty if you are running late so that your student does not begin to worry. Due to some repeat incidences of late pick up in excess of 10 minutes last year, please expect a bill to be issued, as described in the Late Pick Up Policy.
Student Behavior
Please remind your students that while they are in the library, their club classroom, waiting in the front of school, or navigating between the three areas, that school rules apply. Students should respect school property and the teachers who may still be working in nearby classrooms. In the library, students will be offered a puzzle to do that will earn them a prize at the PTA Book Fair!
In Case of Emergency
If you need to reach the parent volunteer and your student during club, please contact the appropriate individual. Please be aware that cell phone reception and data is iffy in the school, so it would be best to send a message via both text and e-mail, as well as make a voice call.
Club Cancellations
If school is not in session, club is not in session. If an instructor needs to cancel, we will inform you via e-mail and then phone, if necessary, to make sure that you are aware and have updated your student's dismissal procedure with the school office.
Student Absence
If your student will not be attending Kids' Club on a given day, please contact the volunteer for that day so that we can account for them. We quickly become concerned when a student has not arrived for club on their designated day and make every effort to account for every single child.

The evening prior to your student's Kids' Club day, you will receive an e-mail reminder. You will also receive an e-mail if there are any changes in the usual schedule that may cause confusion for students. For example, if we know ahead of time that one Kids' Club is canceled, we email everyone to clarify which clubs are running, and which are not.

Siblings receive a $5 discount on each club.
Volunteers who can attend every (OR 50%) class session (every Tuesday OR every Wednesday, OR every Thursday) will be eligible for reduced club fees. Be sure to check the box on the registration form to be contacted regarding this volunteer incentive program.
